WhatsApp support for UAE trading and wholesale companies

WhatsApp support for UAE trading companies: price, stock and order status answered in seconds, in Arabic, English or Urdu. Request a custom quote.

WhatsApp support is where a UAE trading company actually does business. A retailer in Ajman wants your trade price list. A re-exporter in Deira asks whether forty cartons are in stock before his container closes. A walk-in customer from last week wants to know where her delivery is, and a buyer in Sharjah sends a bank transfer screenshot and asks you to confirm it. All of it lands on one WhatsApp number, in English, Arabic and Hindi-Urdu, often outside office hours.

We build the system that answers those messages properly: the official WhatsApp Business API, a shared inbox your whole team works from, an AI first line that answers from your own price list and stock, live order and payment lookups, and a handover to a person whenever judgement is needed. This piece explains what that looks like for a trading, wholesale or distribution business, and why the usual setup stops working.

What WhatsApp customer support looks like in a trading company

It is mostly the same handful of questions, asked hundreds of different ways. In a trading business the answers already exist somewhere, in a price list, a stock sheet, an order system or a bank statement. The work is getting the right answer to the right buyer quickly, without a salesperson stopping what they are doing to look it up.

What the buyer asksWhere the answer livesWhen a person should step in
Send me your price listYour current price list, split by retail and trade tiersOnly when a buyer asks for a price outside their tier
Is this item in stock, and how many?Your stock sheet or ERP, by warehouseWhen the quantity needs to be reserved or split across sites
Where is my order?Your order system or delivery trackerWhen the delivery is late or disputed
I have paid, please confirmYour payment gateway or the reference accounts has matchedWhen a transfer cannot be matched automatically
Can you give me a better price for this quantity?Your discount rules, if you have written them downAlmost always. This is a sales conversation
Something arrived damagedNowhere automaticImmediately, with the order already pulled up

B2B and B2C buyers use the same number but expect different things. A trade buyer wants their account price and a quick yes or no on stock. A retail customer wants reassurance and a delivery date. Good WhatsApp business support recognises which one is writing before it answers.

Why the shared phone stops working

Because a WhatsApp Business app on one phone, or WhatsApp Web open on one desk, was never built for a team. It works when one owner answers everything. Once enquiries grow, or come in from three branches, the cracks are the same every time.

We see it in the WhatsApp support requests that reach us. A business hires someone to sit in WhatsApp Web on a fixed shift, weekday mornings and Saturdays, answering from a price list and a document of standard replies. They are asked to reply within a few minutes, confirm payments within five minutes of the first message, and then copy every conversation by hand into a Google Sheet with the customer's name, the reason and the follow up. One business expected between 50 and 200 conversations a day, seven days a week. That is not a staffing problem. It is a systems problem.

  • Shift gaps. A buyer who messages at 9 pm, or on Friday, gets an answer the next working morning, by which time they have bought from the shop next door.
  • One phone, one person. Two staff cannot sensibly work the same handset, so the queue waits for whoever has it.
  • No handover. When a question needs the owner or the warehouse, it is forwarded as a screenshot and the context is lost.
  • Copy and paste logging. The Google Sheet is always behind, so nobody can say how many enquiries came in yesterday or how many were lost.
  • History walks out of the door. When a salesperson leaves, their chats, and often their best buyers, leave on their phone.
  • Spikes from ads. A Meta campaign on Facebook or Instagram can double the queue overnight, and a manual inbox has no way to absorb it.

The WhatsApp support system we build for trading companies

One official number, one shared inbox, a first line that answers the routine questions from your own data, and people for everything else. Each part replaces a specific failure of the manual setup.

Official WhatsApp Business API on your main number

We handle Meta business verification, move your main number onto the WhatsApp Business API and set up the message templates you need for order updates and payment confirmations. Once that is done, your number is no longer tied to one handset.

A shared team inbox with routing

Every agent works the same number from their own login. Conversations can be routed by branch, product line or language, so a Jebel Ali stock question goes to the Jebel Ali team and an Arabic enquiry goes to an Arabic speaker. Agents pick up, transfer and close chats, and the owner can see the whole queue.

An AI first line that answers from your price list and stock

The routine questions are answered in seconds, at any hour, from the price list, product catalogue and stock data you already keep. It is not a generic chatbot. It answers in your tone, from your scripts, and says plainly when it is handing over rather than guessing.

Live order and payment lookup

Where is my order and have you received my payment are lookups, not conversations. We connect the inbox to your CRM, ERP, order system or even the spreadsheet you run today, so the reply carries the real status. Where a payment is confirmed by your gateway or matched by accounts, the buyer is told straight away. Where it cannot be matched, it goes to a person with the order already open.

Human handover with context

When a buyer asks for a trade discount, disputes a delivery or simply wants a person, the conversation moves to the right member of staff with the full history, the customer record and the order attached. Nobody asks the buyer to repeat themselves.

Automatic logging and a daily summary

Every chat is logged to the customer record without anyone typing it. The owner gets a daily view of what came in, what was resolved, what is pending, what was escalated and which conversations look like hot leads.

Stock and order status are answered from live data, so the warehouse team packs instead of replying to the same questions.

Arabic, English and Hindi-Urdu in one WhatsApp helpdesk

A trading company in Deira or Sharjah serves buyers in at least three languages, and they rarely announce which one they will use. The first line should reply in the language the buyer wrote in, and the routing should send the conversation to a person who speaks it when a handover is needed.

  • Arabic replies laid out right to left, with templates approved by Meta in Arabic as well as English.
  • Hindi and Urdu are often typed in Latin script, as Roman Urdu or Hinglish. We plan for that rather than assuming the script tells you the language.
  • Price lists and product names stay consistent across languages, so the same SKU never gets two different prices.
  • Agents can see which language a conversation is in before they pick it up.

If you already run separate numbers for separate languages, we usually recommend bringing them onto one API number with routing, so reporting covers the whole business rather than three inboxes nobody compares.

Where your people stay in charge

Your staff keep every conversation where judgement or a relationship decides the outcome. Automation takes the lookups away so they have time for those. In a trading business that usually means:

  • Trade discounts and volume pricing beyond what your written rules allow.
  • Credit terms and new trade accounts.
  • Late, short or damaged deliveries.
  • Complaints, and any buyer who asks for a person.
  • Large or unusual orders that need stock reserved across warehouses.

Buyers can always reach a person. The difference is that when they do, the person already has the order, the history and the price tier on screen.

WhatsApp work we have already shipped

We have built WhatsApp API automation and chatbots for businesses with the same shape of problem: a steady flow of product, order and booking questions arriving on WhatsApp, and a small team that cannot answer them all by hand.

Great experience working with this company. They designed and built out several websites for my company. I could not be happier with their communication and speed and efficiency.

The WhatsApp rules that keep your number working

WhatsApp Business API support is cheap to run when it is designed around Meta's rules and expensive when it is not. Three of those rules matter most to a trading company.

  1. 1Replies inside the 24 hour customer service window are free. Most trading support is a buyer asking and you answering, so most of it costs nothing per message.
  2. 2Order and payment updates should go out as utility templates, not marketing ones. Adding an offer to an order update reclassifies it and costs several times more.
  3. 3Message people who asked to hear from you. Broadcasting a price list to a bought or stale list lowers your quality rating, and a low rating cuts your sending limits whatever you pay.

If you run click to WhatsApp ads on Facebook or Instagram, conversations they start open a 72 hour window in which everything you send is free. That makes ad driven spikes far cheaper to handle on the API than most owners expect, as long as the inbox can keep up with them.

How a WhatsApp support project runs

  1. 1We read a sample of your real chats with you and sort them into the questions that repeat and the ones that need a person.
  2. 2We map where each answer lives: price list, stock, orders, payments, and who owns each exception.
  3. 3We complete Meta business verification and move your number onto the API. Verification is usually the step that sets the pace.
  4. 4We build the inbox, routing, first line answers and system connections, in the languages you need.
  5. 5Your team works it alongside us for a pilot period, and we tune the replies and handovers from what actually comes in.
  6. 6You go live with daily summaries and a regular review of what the first line could not answer, so it keeps getting better.

GoDesign is very professional. They created a website for our online business and are a very smooth company to work with. Highly recommended.

Get WhatsApp support that keeps up with your buyers

Tell us where your branches are, which languages your buyers write in, roughly how many WhatsApp messages you get on a busy day and where your orders and stock are kept. We will come back with a written scope, a timeline and a custom quote, and an honest view on which part to automate first.

Questions

Yes. We connect the inbox to your CRM, ERP, order system or the spreadsheet you use today, so stock, order status and payment confirmations are looked up live rather than typed from memory. If your data sits in more than one place, we map that in the first week and say plainly what can be connected.

No. The first line answers only from your own price list, catalogue, stock and standard replies, in your tone. Anything outside that, and anything that needs judgement such as discounts, credit or complaints, goes to a person with the full conversation and order attached.

Yes. Replies go out in the language the buyer wrote in, with Arabic laid out right to left and templates approved in each language. We also plan for Hindi and Urdu typed in Latin script, which is common in the UAE, and route handovers to staff who speak the buyer's language.

You still need people for sales conversations, exceptions and complaints. The first line covers price, stock, order status and payment questions around the clock, including Fridays and evenings, and queues anything that needs a person for the next shift with the context already attached.

You can keep your number, but once it moves to the WhatsApp Business API it can no longer be used in the WhatsApp Business app on a phone. Cost depends on branches, languages, volume and the systems we connect, so we give a custom quote against a written scope.
